Slow billing is expensive twice

Once in cash flow: money you have earned sits with the patient or the insurer instead of with you. And once in write-offs: the longer an invoice goes unchased, the less likely it is ever to be paid, and the more awkward the conversation becomes.

Neither is a discipline problem. It's that billing has been left as a manual task at the end of a long clinical day, competing with everything else — and losing.

What we build

Invoicing at the point of appointment

Fee schedules per service, per practitioner and per payer, so completing an appointment raises the correct invoice automatically. Branded, itemised, and out the door the same day.

Online and card payments

Pay-at-booking, pay-on-the-day and pay-by-link, connected to your own payment provider. Taking payment at the point of care is the cheapest credit control there is.

Private medical insurance claims

For practices doing insurer work, this is where the real money leaks. We configure Healthcode submission end to end — practice and practitioner registration, insurer fee schedules, membership and authorisation capture, electronic claim submission and remittance matching — so claims are right first time and shortfalls get spotted.

Reconciliation with your accounts

A defined routine connecting the practice management system to Xero, QuickBooks or whatever your accountant prefers, so the numbers agree and nobody is rekeying anything.

Credit control that actually runs

A written, scheduled sequence for outstanding balances: automated statement, reminder, follow-up, escalation. Applied consistently to everyone, so it never feels personal and never gets forgotten.

Reporting you'll actually look at

Income by practitioner, service and payer. Aged debt. Claims outstanding. Appointment utilisation. A short monthly picture of whether the practice is going in the right direction.

Common questions about clinic billing

Do you handle private medical insurance billing?

Yes. WriteUpp integrates with Healthcode, which is how claims reach the major UK insurers electronically. We set up the practice and practitioner details, the fee schedules, and the submission and remittance routine so claims go out correctly first time rather than bouncing back weeks later.

Will this work with my accountant and my accounting software?

It should, and we will speak to your accountant to make sure it does. Practice management systems generally export or integrate with Xero, QuickBooks and similar. We agree the reconciliation routine with whoever does your books before we build it, not after.

Can you chase unpaid invoices for me?

Yes, and this is usually where retained clients see the fastest return. Credit control works when it is consistent and unemotional — a defined sequence at defined intervals. Practices find it uncomfortable to chase their own patients, which is precisely why it gets left.

Do you take payments or handle client money?

No. Payments flow directly between your patients and your own merchant account or payment provider — Stripe, GoCardless, your card terminal, your bank. We configure and administer the process; the money never passes through us.

What about VAT and mixed private/insurer income?

Both are handled in the configuration: separate fee schedules, payer types and reporting so self-pay, insurer and any third-party income are distinguishable in your reports. We will flag anything that looks like a question for your accountant rather than guess at it.
