Practice Systems Power Session

Fixed fee
Two focused hours with Rachel to work through a specific systems, process or workflow problem.
This could include:
- improving part of your WriteUpp or Cliniko setup
- fixing an awkward booking or administration process
- reviewing forms, emails or automated communications
- improving a patient workflow
- working through a particular practice-management problem
The time can be used as one two-hour session or, where appropriate, split between a working session and implementation.
Wherever possible, we'll use the time to make practical changes and improvements, rather than simply talking about what you could do differently.
A brief summary of the session and agreed actions will be provided afterwards, so you have a clear record of what was discussed and what needs to happen next.
Best for: A clearly defined issue where you know what isn't working and want practical help fixing it.

When something needs fixing properly
Practice Improvement Projects
Scoped and priced as a defined project
Sometimes the problem is bigger than a couple of hours.
You may need to:
- redesign a patient journey
- improve your practice-management system
- introduce online booking
- streamline referral management
- improve cancellations and follow-up
- build better reporting
- overhaul an inefficient administrative process
We'll agree what needs to be achieved, what work is involved and the project fee before work begins.
Wherever possible, projects are priced around the outcome and scope of the work, rather than leaving you with an open-ended hourly bill.
Best for: A specific area of the practice that needs improving, implementing or redesigning.

Practice Performance Review

A comprehensive review of 13 key areas of your practice, giving you a clear picture of what's working, where improvements are needed and what to prioritise next.
When you're immersed in the day-to-day running of your practice, it isn't always easy to see what's helping the business move forward — or what's quietly making it harder to run.
The Practice Performance Review takes a structured look across 13 key areas of your practice, giving you an objective view of how effectively the practice is operating and where changes could make the greatest difference.
Rather than focusing on one isolated problem, the review looks at the practice more broadly to identify opportunities for improvement, operational pressures and areas that may be affecting efficiency, capacity, performance or growth.
What you'll receive
Following the review, you'll receive a comprehensive Practice Performance Report including:
- your assessment across 13 key areas of the practice
- a clear summary of what's working well and where improvements are needed
- the key issues and opportunities identified through the review
- clear, practical recommendations based on the findings
- priorities so you know where to focus first
- a practical, prioritised action plan designed to be implemented over the following 90 days
- a 60-minute review meeting with Rachel to talk through the findings, recommendations and next steps

Day-to-day support
Practice Support
From £45per hour, ad-hoc
Monthly retainers from£400 for 10 hours
For practices that need reliable help keeping the day-to-day work moving.
This could include:
- patient administration
- diary and inbox management
- referral administration
- invoicing and payment follow-up
- practice-management systems
- other recurring administrative work
If you only need occasional help, ad-hoc Practice Support starts from £45 per hour.
For practices needing regular support, monthly retainers start from £400 for 10 hours per month, giving you a more cost-effective hourly rate and dedicated support time each month.
Support may be delivered by Rachel or a member of the Done Virtually team under Rachel's direction and oversight.
Best for: Practices that need additional capacity and reliable administrative or practice-management support without employing another member of staff.
Operational support
Practice Operations
Ongoing operational support — priced according to scope
For established or growing practices that need more than additional administration.
Practice Operations provides higher-level support with the way the practice is run — including:
- processes
- systems
- team responsibilities
- performance
- reporting
- accountability
- operational priorities
Rachel leads this work and remains closely involved in the practice.
The fee will depend on the level of involvement and support required and will be agreed before work begins.
Best for: Practice owners who need experienced operational support to help bring greater structure, oversight and accountability to the way the practice is run.
